Terms
Last updated: 15 October 2026
These terms explain how Receiptbinder works and what we each agree to when you use it. We've kept them short and in plain English. By creating an account you agree to them, and to our Privacy Policy.
Who we are
Receiptbinder is a trading name of Ink 2 Inspiration Ltd, a company registered in England and Wales (company number 16885801). Our registered office is C/O XL Associates, Hazara House, 502-504 Dudley Road, Wolverhampton, WV2 3AA, United Kingdom.
When these terms say "we" or "us", they mean Ink 2 Inspiration Ltd.
Plans and prices
These are the prices shown in the app. You can pay monthly or yearly:
- Sole trader (Self-employed, Self Assessment): £14.99 a month or £149.90 a year.
- Limited company (Registered at Companies House): £34.99 a month or £349.90 a year.
- Practice (For accountants and bookkeepers): £29.99 a month or £299.90 a year.
Sole trader and Limited company plans include one business. Each extra business costs £9.99 a month or £99.90 a year. The Practice plan includes 3 users (logins); each extra user beyond 3 costs £9.99 a month or £99.90 a year.
Launch offer: yearly plans started by 31 March 2027 get 50% off the first year (for example, £74.95 instead of £149.90 for the first year of the Sole trader plan). This applies to every plan (Sole trader, Limited company and Practice), including any extra businesses or users on the subscription when the first year's invoice is issued. Extras added later in the first year are charged at the normal price (for the part of the year left). After the first year the normal price applies.
Plans renew automatically at the end of each month or year until you cancel. We'll email you before a yearly plan renews.
Free trial
- New customers get a 5-day free trial. If you've had a subscription before, there's no trial.
- You need to add a card to start the trial.
- When the trial ends, your card is charged automatically for the plan you chose, unless you cancel before then.
Cancelling and refunds
- You can cancel at any time from Billing in the app.
- Cancelling stops future renewals. You keep full access until the end of the period you've paid for.
- Payments are non-refundable, including for any unused part of a month or year.
Failed payments and read-only accounts
If a payment fails, we'll retry it for about 7 days. If it still hasn't gone through, your account becomes read-only until you pay or start a new plan.
A read-only account can't add or change anything, but you can always sign in to view and export your data.
What Receiptbinder is (and isn't)
- Receiptbinder is a record-keeping tool. It is not accounting, tax or legal advice.
- Deadline dates shown in the app are estimates based on standard UK rules. Your own deadlines may be different, so always check them with your accountant.
- “Needs attention” is a reminder list worked out from simple rules – your deadlines, your accountant's flags and questions, missing receipts and what you've marked. It can miss something or show something already dealt with, and it doesn't replace letters or reminders from HMRC, Companies House or your accountant. Marking a deadline “Filed / paid” only records what you tell us: Receiptbinder doesn't file returns or pay tax for you.
- The director's loan and drawings figures are estimates made only from the transactions in Receiptbinder: money marked “Director loan in” and payments marked private. They leave out salary, dividends, other bank accounts and anything your accountant has recorded, and the “repay by” date for s455 tax follows the standard rule (9 months and 1 day after the year end). Check the real balance with your accountant before you act on it.
- You're responsible for the accuracy of what you upload and enter, and for keeping the records the law requires you to keep.
Giving your accountant access
- You can invite an accountant or bookkeeping practice to a business in Settings → Accountant. Access is given to the practice, not to one person; the practice decides which of its staff work on your business.
- For each business you choose the practice's access, and can switch it at any time:
- Can edit (the default for new invites): the practice can see and download your records, change transaction descriptions, mark transactions as private, add, attach, detach and bin receipts and invoices, import bank statements into your existing bank accounts, change your year end and VAT settings, flag transactions and close months.
- View only: the practice can see your transactions, receipts and deadlines, download months, and flag transactions and ask you questions about them, but can't change your records or close months.
- A practice can never change your billing, plan or card, your account settings, who has access, your bank accounts or your business's name, type and other settings, and nobody – you or a practice – can permanently delete transactions, receipts or a business. Bank details of an imported transaction can never be changed.
- Private marks a transaction as personal, not a business expense. Your practice always sees private transactions; they're included in downloads, marked as private.
- Flags: your practice can mark a transaction approved, ask a question about it or reject it with a reason. You see every flag and can answer questions on the transaction, but you can't change a flag. A flag is the practice's review, not a decision about your tax.
- Months: you can mark a month as ready for your accountant. A practice with Can edit can close a month: after that nobody – you or the practice – can change anything in it (descriptions, private marks, receipts, flags), and bank lines dated in it are skipped on import. Only the practice can reopen it, with a reason; you can ask it to. If no practice with Can edit and an active Practice plan is linked to the business (access removed, View only, or its plan has ended), you can reopen the month yourself, with a reason.
- Every change to a transaction – its description, private mark and receipts, and every flag and answer – is recorded with who made it, which practice they work for, when, and the old and new value. You see it under the transaction (with the practice's name) and can restore the previous description, private mark or receipt. Restoring is itself recorded. This change history can't be edited or deleted.
- You're still responsible for your records, including changes a practice makes for you with Can edit. If something looks wrong, restore the previous version, switch the practice to View only or remove access.
- You can remove access or change accountant at any time. Removing access or switching to View only takes effect straight away, and your records, their history and your activity log stay in your account.
- Files a practice has already downloaded are its responsibility. Removing access doesn't delete their copies.
- Every invite, change of access, download, statement import, change of year end or VAT, change to a receipt that isn't attached to a transaction yet, and every month marked ready, closed, reopened or asked to be reopened (with the reason) is shown in your Activity log, which can't be edited.
- If your subscription lapses, your practice can still view and download, just like you, but can't change anything until it's active again.
If you're a practice
- Only use a client's access for the work they've asked you to do.
- With Can edit, only make changes your client has asked for or would expect as part of that work. Your client sees every change with your practice's name and can undo it; within your practice, the change history shows which of your staff made it.
- Closing a month locks it for your client too. Close a month only when your work on it is done, and reopen it when your client has a good reason to change something.
- The accounting software files (Xero, QuickBooks Online, FreeAgent) are a convenience. Check each import in your software; you're responsible for what you post from them.
- Keep anything you download secure. You're responsible for your copies under your own professional and data protection obligations.
- Everyone at your practice must sign in with two-factor authentication. We require it.
- If your Practice plan ends, you keep read-only access to your clients for 30 days. After that, access is paused until the plan is active again. Your clients don't lose anything.
Using Receiptbinder fairly
- Don't upload anything illegal, or anything you don't have the right to store.
- Don't share your login. Each person needs their own account (Practice plans can add extra users).
- Don't try to break, overload or get around the security of the service.
If you break these rules, we may suspend or close your account.
Our liability
We work hard to keep Receiptbinder reliable, but we can't promise it will always be available or free of errors. Keep your own copies of anything important – you can export your data at any time.
If something goes wrong and we're responsible, our total liability to you is limited to the fees you paid us in the 12 months before your claim. Nothing in these terms limits any liability that can't be limited by law.
Changes to prices or these terms
We may change our prices or these terms. If we do, we'll email you at least 30 days before the change takes effect. If you don't want to carry on under the new prices or terms, you can cancel before then.
Governing law
These terms are governed by the law of England and Wales, and its courts deal with any disputes.
